Building the Template with Slide Publisher MS PowerPoint Add-On

Building a template is a one-time operation, and the template can be used with any relevant project each time you publish a new slide deck. You may decide to create multiple templates for example: Project Update, Portfolio Status and so on.

First design your PowerPoint presentation, with your branding, colors, format, logo etc. or use the standard presentation format already used in your organization.

Once your template is ready, use the side panel MS PowerPoint Add-on to select which data from Clarizen to bring into the presentation as placeholders. You will ‘copy’ and ‘paste’ the placeholder tags you generate with the Add-On. Like similar flexible template creation tools, the placeholders are represented by curly brackets / curly braces like this: {}. Additionally the rightside closing bracket "}" is a hyperlink and holds some additional data like format, sorting, filtering and must not be deleted or modified.

*Notice that the font styling is determined by the “{“ character of the placeholder (the first character).

  1. Login with your Clarizen credentials

  2. Single or Repeating Slide 

    a. Select the type of slide you want to create, Single for data from the project level, and Repeating for data from sub projects, where the slide will repeat itself for each sub project with the respective data.

    b. To return to this page, click on the ‘slide type’ link from any page  

 

Single Slide

    • Select the field you want to present from the drop down list
  • The field set includes all OOTB fields for Project entity, and custom fields added at you organization.
    1. Set the field format- select types allow you to select how you want them displayed in the presentation

  • Currently no option to show icons/ traffic lights for pick- lists (such as Status)
  • When selecting a field that has hops (such as RefToUser), they will be displayed in a new drop down menu.
    • For example, you can select ‘Project Manager’ and then ‘Name’ or ‘email’
    • By default, ‘Name’ is selected  
    • Slide Publisher supports up to 5 hops



    1. To insert the placeholder in the slide, click ‘Copy’ and ‘Paste’ it in the desired location on the slide.
  • !Note: Ctrl + v may be the only method to ‘Paste’.
  • You can edit the placeholder font, color or size in the slide itself, and it will be reflected in the presentation.
    1. New field can be added by clicking on ‘Clear & New Field’.



 

  • List (Related Items)

 

    1. You need to input a table with at least 2 rows into the slide. The first row can be your headers, while the second is where you will paste the placeholders.  Upon generating the presentation, the table will be filled in with data from Clarizen.
    2. Select the related item you want to include from the drop down list including data objects.
  • For related bugs, issues, risks and requests, you have an option to select ALL items related to this Project, tasks and milestones (in Clarizen, appears under ‘Targeted Cases’ panel), or items that are related ONLY to the project itself.
  • Timesheets include all timesheets, tasks and milestones on that project.
    1. Filter the list of items by any parameter
  • Slide Publisher supports ‘and’ between the parameters, however does not support advanced options for formula and conditions
  • Some of the field types require specific format of value when filtering by this field type
    • Slide Publisher does not include a drop down menu to select from at this time, therfore there is a need to type it manually.

    1. Set number of items to display in a list, up to 25 items
  • Since PowerPoint does not support page break, we recommend limiting the number of items to prevent overflow of slides.
  • Default is defined as 8 items.  
    1. Set columns- once you are done with the table settings, click on ‘Select columns’ to add the column placeholders.  
    2. Select the field you want to present from the drop down menu as a column in the table.
  • The list of fields include OOTB and custom fields from the related entity you selected.
  • Note the same options as the ‘Field’ section are available here- fields and formats.
    1. Set table sorting by any column by marking a column ‘Sort’ using the toggle, and select ascending/descending.
  • Make sure only one column is selected for sorting before you ‘copy’ and ‘paste’ the placeholders to your slide.
  • Multi-sort is not supported.
    1. To insert the placeholder in the slide, click on ‘Copy’ and ‘Paste’ it in the desired location on the slide.
    2. You can edit the placeholder font, color or size in the slide itself, and this will be reflected in the presentation.
    3. A new field can be added by clicking on ‘Clear % new column’.
    4. A new table can be created by clicking ‘Clear & new list’
  • This is helpful when you want to add a new related items list or you have made a mistake and want to start over.

 

  1. Roadmap
    1. Select the roadmap by clicking on the roadmap image. This will automatically insert the roadmap placeholder image in your presentation.
    2. In the slide, you can change the location and size of the roadmap to suit the slide layout.
  • Make sure system setting 3.10 (Enable Clarizen page embedding) is enabled, in order to include the Roadmap in the presentation.
  • Currently only baseline roadmap is available and there are no options to select ‘flat’ or other options.  

 

  • New Slide

 

    1. When you are done creating the current slide and would like to move on to another slide type, click on ‘Clear & New slide type’ to begin creating a new slide.
    2. Select whether to build a Single or Repeating slide.



Repeating Slides

    1. Select Repeating slide when you want to include subprojects slides in your presentation, and have detailed data for each subproject.
    2. Filters can be applied on repeating slide to set which sub projects will appear in the presentation (optional).
    3. Once filters are set, to indicate this is a repeating slide, click on ‘Copy’ and ‘Paste’ in the top left corner of the slide.
    4. To add placeholders for fields, tables and roadmaps, follow the same steps as the single slide.
  • You are confined to a maximum of 50 repeating slides.
  • The slides are sorted by creation date in ascending order.

 

  • Editing placeholders and template

 

Edit placeholder can be done only by deleting the placeholder/table from the slide and creating and pasting a new one from the Slide Publisher Add-in.

 

 

  • General limitations

 

Slide Publisher does not support:

    1. Icons for picklists indications (such as for Status)
    2. .tiff images
    3. Relations of relations
    4. Data for more than one level of project and sub project
    5. Main entities other than Project
    6. Overview field 
    7. Resource Utilization time-phase data
    8. Financial Planning details or time-phase data
