How to handle non-Project related admin tasks?

When looking from a holistic team and time management perspective, as well as entering time against project tasks, how can Clarizen be setup to handle non-project admin tasks without creating scheduling issues?

i.e I have tried creating "internal" projects with admin tasks that have no work and a long duration so that users can assign effort via time-sheets but what I am finding is these tasks are creating schedule conflicts and resource over-allocations.

What is the best practice or guidance on handling this scenario?

Hi Gary.  I would really recommend a Q&A session to see how to best set this up ( http://www.clarizen.com/live-demo.html), but here are some quick tips:

  • Use milestones for these admin buckets since they won't load resources or trigger notifications

  • Remember to mark the milestones as reportable, and assign the right resources

  • Don't bother with duration or dates, these milestones will continue to show up on timesheets indefinitely unless marked as completed

  • Keep these milestones in one project to make them easy to administer

If we set up the time for these task-types to be tracked this way, where can we pull the data? I have tried setting up reports for these milestones/tasks and all of the fields are blank.  Thanks!

I would run reports in the Time Tracking section of the reporting tab.  Start with the Resource(s) Hourly Report for a resource you know reported time on one of these milestones (such as yourself) and you should see it.  Also please make sure that the time has been approved to ensure the data is in the report.  If you are still having problems please let us know what you see after running the report.
