Validation rule- Notification on active task for email only user & Stop notification unnecessary mail

Kindly help me in creating a validation rule for the below scenarios,


1. whenever the project is moved to Active state the respective Email access user has to get automated mail about their Task name,parent project name,start date, due date and also quick link to update the time sheet.

2. How to stop receiving Email notification (outlook) who owns the projects/cases/task etc, similarly stop notification for the Status/State changed by the owner because of many notification coming from Clarizen, it has a chance to miss the important one. But if any changes are done by the other stakeholder (other than owner) has to be notified to the owner.

We had a very similar issue.

We have set users email notifications to either 'none' or 'daily digest' in each persons settings (People module), the notifications field can be shown in the list view to aid this change.

Once we had done this we then implemented the Resource Notifications app from the marketplace.  This means that users receive and email when they are allocated a task (Including email users) and you can then control better the amount of emails being generated.  You might need to adjust the settings in the workflows for generating the emails to suit the exact information you wish to send.
