Assign Project Manager as Resource on all Sub-Tasks

Is there a way to automatically assign the Project Manager as a Resource on all sub-tasks? We create new Projects from Templates, and it would be ideal if the selected Project Manager was set as a Resource on all of the Tasks that are created from those Templates. Thanks!

Hello Doug,

To set the PM as a resource on all tasks within that project, you should create a workflow rule on a task that creates a new resource link on the CurrentObject() upon creation of the task (if it is created from a template):

Hi Roland,

I was mistaken. What we actually want is for the RESOURCE that's assigned to a project to become a resource on all tasks within that project. But we do NOT want the Project Manager (who is also a resource by default) to trickle down to the tasks. So a PM gets a project, and then assigns an available resource to that project. That newly assigned resource should automatically become a resource on all work items within the project.

Can you think of a way to accomplish that?

This is possible to do, but I would take a couple steps back and look at your overall project structure and workflow. I don't think this would be a good practice.  If you are looking to give resources visibility of the project and tasks, you only need to assign at the project level. If you are looking to set specific task assignments, this will make it very difficult to see who is really responsible for a task (best practice is to have as few resources as possible on each individual task, 1 is ideal and if you have more than a few it would be best to break down the task into substasks). This would be another good topic to discuss with your CSM and PS Consultant.

Josh,

We will only have one resource on each task, but that resource will always be the same for a given project. The PM selects that resource, assigns him/her to the project, and then that same person will be the only resource on each task within the project. My CSM is aware of this request as well.

In this case I would use a project template with a placeholder resource assigned to tasks, which is usually given a generic name such as "Designer," "Programmer," "Engineer," etc. When the PM launches the project, all they need to do is use the Find & Replace feature to swap out the placeholder with the real resource. Also, if that resource is assigned as the Owner, then all new tasks created will by default be assigned to that resource even if their name is not in the Resource column. All of this is out-of-the-box, no configuration required.

Josh,

Can you tell me how to use the "find & replace" feature? I can't find it. I found some older threads that mentioned a "find and replace" app in the marketplace, but I can't find that either. Maybe you can point me toward some documentation somewhere? Thanks!

Absolutely. In the Work Plan just go to Resourcing >> Replace Resource
