I would like to account for resources PTO schedules into their resource load. I have a PTO project to capture actual PTO hours. Is it better to schedule their PTO hours in the project or update their individual calendars?
I would like to accomplish the following
know when people are scheduled for PTO
see PTO as part of their allocations and its impact on their assigned project tasks
see shifts in project timing based on people's PTO schedule

if you set up their PTO in their individual calendars, you'll accomplish bullets 1 and 2. You'll see that they are not available if you try and assign them to a task when they have PTO (but you'll still be able to assign them). Projects' timing will not be affected by PTO schedules. The PM or work item manager will need to take care of that.

Just to add and clarify: If you create a project with PTO, you'll be able to 'manage' the time, i.e. how much of the PTO allocated was used. Calendars can't be used for that.
Regarding the third bullet, projects' timing MAY be affected, based on the work policy you have set up. I would suggest looking at: http://usermanual.clarizen.com/#work-policy-2 and/or attending a Q&A webinar or contacting your customer success manager directly if you need further information.

Thanks for the advice. A follow-on question. Would timesheet license users be able to update their own calendar or would I need to do this as an administrator.

Hi Pam,
Time and Expense users have access to the Time Tracking and Expenses subsystems and therefore they have the ability to update progress, submit expenses for approval and** subscribe to iCal feeds for their work items.**
What kind of updates do you have in mind?

I just confirmed that they should be able to update their personal calendars as well.
