What triggers the various emails from Clarizen

Hello,

I'd like to be certain which system settings trigger which emails coming from Clarizen:

  1. Daily notifications summary from Clarizen - this is sent daily

Does this email only show me executable/past due items?

  1. Time to Update Your Progress - this is sent weekly

Does this email only show me executable/past due items?

1.) This is set in System Settings >> Task Completion Reporting Policy. This email shows items where the reported % completion is less than the expected % completion (essentially everything users should be reporting progress on).

2.) This is a notification set in System Settings >> Time Tracking. I usually turn this off since it is a simple reminder to report time. If you are utilizing time tracking that it should be part of a daily process, so I find little value in this notification. It will go out if there are any items in the past week where time could have been reported and time was not reported (so it will pretty much trigger every week).

Also - for item #1 - can you please clarify if it only triggers an email if an item is executable? Regardless of it's due date?

It is not exactly a field but a system setting for the Time Tracking options.  If you go to System Settings >> Time Tracking, these notifications are controlled by settings 10.14 through 10.20. 

As for item #1, great question... this depends on System Setting 9.7.  By default all items are included in the emails, but if you turn this setting on then the emails will only show executable tasks.

For item number 1 (the Daily notificaiton summary from Clarizen email) - I'm getting these daily (sent around 6am). If I look at my parameters under Task Completion Reporting Policy I believe that I'm supposed to be getting a task completion report on Mondays at 7am?

For item number 2 (the Time to Update your Progress email) - I checked what we have set up for Time Tracking settings 10.14 through 10.2 - none of these have been checked off... why am I receiving this email?

Still confused about the source of these two emails... sorry... hoping you can assist?

1.) Are you sure that the global time zone is correct? The time setting in Task Completion Reporting Policy is a target, the emails still go out depending on the load of the server so there can be some variation from the time you set.

2.) You mean non of those Time Tracking settings are turned on?  Can you confirm that all of them are unchecked?  Did you install any customizations that send Time Tracking reminder emails?

Hi again,

1) I'm not so concerned about the hour or so difference, what concerns me is that this email is titled as a daily email, yet if it's the one you are referring to - I've set it up such that I receive it on Mondays only...

2) That's right - none of the Time Tracking settings are turned on - no customizations installed.

3) There is a third email that I've been sent entitled "Work Items you can start working on" - can you confirm that this is triggered by System Settings >> Alerts >> 2.3 "Enable Notification for Completed Predecessors via Email"?

For training purposes, I'd like to be clear on what emails users can expect, and why - hence all the questions :)

1.) Ah, I'm sorry... I misled you on where this is coming from.  If you go to your profile, you will see a setting called "Project Notifications."  You only have the option to turn this on or off, you cannot set frequency on this email.  If you uncheck this it will stop those emails.

2.) These are controlled by the Task Completion Reporting Policy schedule, so this is what should go out once per week if you only have this set to Monday.  Sorry, this is not related to the Time Tracking settings.

3.) Correct, this is turned on with setting 2.3 and gets sent out when predecessors have been completed for a task you are responsible for.

Last question series of questions on this item:

1) Daily Notification Summary from Clarizen - could you please confirm that these are only sent to you if you are a project manager, or a super user?

2) Time to Update Your Progress - could you please confirm that this in an email to a resource that is a full list of tasks, not just executable tasks?

3) Work Items you can Start Working On - can you please confirm that this is an email to a resource sent only for executable tasks?

I'm thinking that I may cancel the second email notification, because if I'm understanding correctly, the third email notification is the one that we're really after as we consider the approach that we're taking with our resources.

1.) Reviewers will get these as well.

2.) Again, this depends on your system setting, but by default it is all tasks not just executable ones.

3.) Confirmed.

 

The downside with canceling #2 is that this is the email that lets you report progress without having to log in.  With the notification in bullet #3, the email itself is not actionable, the user will have to log in.

Thanks Josh,

One last question... if I then cancel #3 and stick with #2 - I'd want to turn this in to a daily email (which I know how to do). If we have setting 9.7 set, and the emails are set to send every day - would an email send to a user if they do not have an executable task?
