How to change customer state to inactive?

How do I change a customer's state to inactive?  Right now that field is not able to be changed on the customer card...

Currently, the state of a Customer cannot be changed. The state will automatically change to 'inactive' if a Customer is deleted AND linked to a work-item or case.

Hi Jeff,

You cannot change the state to inactive persay.  Inactive = Deleted customer, so to change the state, you must delete the customer.

Tom, thanks for the response.  Well we certainly don't want to delete customers...we simply would like to archive them in a way so that when selecting a customer in a project, only our current customers show up in the list as available selections.

I totally understand. To be honest, I think this is a design bug. I will open a bug to our R&D team regarding this.

This is something that is challenging our company as well. Another use of this is to be able to pull a list of all active customers. Has there been an expected date of improvement released yet from R&D?

How can a customer have a "state" if it's deleted from the system?

And if a customer is deleted, what will happen to all of the projects it's linked to?

I think what we're asking for is a way to archive customers who are currently inactive but may return later so that in the meantime, we don't have to sort through excessive options in drop down menus where choosing a customer is required.

Just to answer your questions:

How can a customer have a "state" if it's deleted from the system?
A: If you try to delete a Customer that has Related items (i.e. Projects or Cases), the system will not delete them. The customer will be set to Inactive, otherwise, you are not able to simply set a Customer to Inactive, there is no option to do that.

And if a customer is deleted, what will happen to all of the projects it's linked to?
A: As mentioned above, you cannot delete a Customer with a relation, you would need to remove the relation to delete which would remove the Customer relation on the related item (i.e. Project).

A: This can technically be done by filters on the different entities (Projects, Customers, etc) to only show Customers that are Active .

We also need the ability to make customers inactive. I think this is an essential feature.

I never received resolution to this, other than the official Clarizen statement above...which doesn't help at all when we have to sort through a list of 400 items, many of which should be able to be hidden.

If a customer is linked to work items, all you need to do is "delete" the customer. The customer will stay in the system but be set to inactive, which you can filter and sort by. You can also create a custom field for customers and sort/filter by this field so that you only look at relevant customers.

Josh... hey, I get what you're saying.  We've done exactly what you've suggested.  Where we're running into issues is on custom actions and similar situations where the user must select a customer from a field where the configuration is:  reference to object:  Customer.  In these cases, the system does not automatically filter out the inactive customers.  Does that make sense?

It makes perfect sense. I don't have a slick solution for you in this case, but have an idea. You can rename "inactive" customers to something like zzz_(Customer Name). This will at least put them at the very bottom of the list.
