Ian,

Can you be more specific on how the Projects are created by interact? Are these Email to Case or specific to the creation of Projects?

Technically, this would not be done by Interact but by a Workflow Rule that would run on projects that 'on creation'. Then the action would be Update Field.

For further clarification, we suggest you register for one of our Advanced Q&A webinars (see the link-> http://www.clarizen.com/resources/online-demo.html#second ).These are great resources for free consulting with our Customer Success Managers and visual answers to your questions.

Please let us know if you need further assistance.

Sincerely,

Boris

Hi Boris,

The project will already be in place in clarizen so a workflow rule on creation will not do what I need. What I want to do is update a custom field on the project, I cannot use the project id in the email address because the email will be coming from SFDC and  that can only send emails to known contacts. So what I need to do is send an email that contains the project name then get interact to identify the project and update a custom field.

Thanks Ian

Ian,

This is a bit more complicated. If you do not want to use Project ID, would you be able to use an Alias for the Project. If Alias can work, then you can use the Work Item Interact rule that allows you to send an email directly to a work item. It is called the 'Attach Triggering Email to Work Item'.

This rule allows licensed users to attach the email they send, along with attachments, to a work item. The format of the email should be <WorkItemID>@<Domain>.clarizenmail.com, where <WorkItemID> is the work item's ID or Alias (which can be obtained from the work item's view or properties card) and <Domain> can be obtained from the InterAct settings page.'

Would this work for your needs?

Sincerely,

Boris

Hi Boris,

Thanks for the suggestion unfortunately the constraint is that the email address cannot contain any project related information. We can only use a common email address, otherwise we would need to create a new contact in SFDC for every project which due to the high volume of projects (2 -3 every day) would be unsustainable and fill our SFDC system with dummy contacts.

We can have the project ID in the content of the email but not in the email address itself.

Could we get Interact to creata a task or request containing the project idenifier then get a workflow to pick this up and then update the project using information from the task or request?

Hi Boris,

Thanks fro your efforts.

I have resovled my  problem by using 'Issues' in SFDC and using a workflow rule to update the project field.

Regards Ian
