Ability to roll-up numeric / currency Project Custom fields

In a New Product Development environment, Revenue is not always based on billing hours, but many time only on sales.  In our environment we base our ROI on 3 years projected sales.  Each year may be of a differnet value.  We have created custom fileds to reflect the 3 yr expected sales.  however, we can not see the roll-up of these values at a parent project level.  We maintain parent projects for our product portfolio. 

Why do you not allow roll-up of project fields, or why if you create a roll-up work item can you not maintain a value at the work item or project level.  Standard work items like expected revenue allow a value maintained at the Project level and then roll-up to the parent level.

Hi Bryan,

 

  Unfortunately, the only true roll-up supported is one created at the Work Item level.  This field will continue to roll-up to the project portfolios; however, the field must be populated at the leaf level (usually a task).  I will add you to the feature request for the ability to set the non-leaf fields values (similar to revenue fields, for example).  For your project level fields, another option is to create a formula roll-up summary field at the project level which sums the "Impacting and Sub Items" field value.  This will create a separate field on the object for roll-up purposes.

Could someone in Clarizen please explain the steps of how to achieve this.  As we also have the same issue in which we have created custom fields that need to have the sum rolled up.

You create a custom field at the work item level, and check the Roll-up checkbox which is the very last option when creating the custom field.

Josh, Thank you for getting back to me.  However, the only options I have when creating a Custom Field are attached.  What do I check?

That is because you are creating a new custom field at the task level.  You need to create this field at the "Work Item" level (click work item on the left-side menu on the configuration page).

Josh,  Thank you, I found the option and now it is working.

On another note, if it's ok to post here.  In my Work Plan I have a Project in which all my Tasks are completed.  However, as they are complete I would not to display this as it is now complete.  Is there a way of hiding the items completed.  I had a look at the column Filtering options and unfortunately this only highlights the options and not hide.

Absolutely, just click on the filter button next to the search box in the upper-right of the panel.  Here you can use the checkboxes to display only active/draft items.  You can filter in pretty much any page and the filters can be saved to your view; it's a great feature!
