Workflow e-mail storage questions

I'm hoping that I can set up the system so that when a project is closed, an e-mail get sent out, replied to and stored in the project record.

I'm having a lot of trouble finding useful details about interact and how to use it (assuming this is the right tool).  Frankly, the search Clarizen website is not very useful (I usually have better luck with google from the outside...)

I see that there is a track e-mail object... but can't quite figure out how to make it work.  Is there an example?

I would like to

1) Detect when the project reaches "complete"  (no problem, I can do that)

2) Send out an e-mail with instructions of what the PM should do to wrap up (no problem, I can do that)

3) Store that e-mail into the clarizen project (problem, ??)

4) Store the reply from the PM into the clarizen project (also problem, ??)

Thanks, this looks like a great feature that will really help us.

Hi Rich,

Regarding item #3, this is related to the "track e-mail object" question preceding it.  To keep the email attachment you need to select to track e-mail object.  In the form that comes up when you turn this on, try putting in "currentobject()" without the quotes.  This will save the email to the item the rule is running on (project, task, milestone, issues, etc.)

#4 is related to #3, without the item above working #4 won't work either.  When this email notification goes out from the system, all the recipient has to do is use "Reply All" and their email will be tracked back into the system.  No Interact functionality is even necessary in this case =)

In case I didnt activate track email option in my workflow is there anyway I can find out whether the workflow sent the mail or not?As in can I retrieve the email?

I want to detect when the project reaches a "complete" status (ideally through an email).  How can I set that up?  The above doesn't clarify that part.

Hi Shannon,

What you're looking for is available as a customization (not related to Interact). You'll want to setup a workflow rule that is triggered when the project "state" is marked as "Complete". This can be done by a system administrator in Settings>Configure>Select Item Type "Projects">Create Workflow Rule.
