Reporting actual hours on 1 task with 2 resources

Hello,

 

I have 2 resources assigned to a task. Can I enter time on that task for 1 of the resources? Can I see how many hours each person has entered on that task individually?

Hi Sharon, ideally those resources would be going in and entering time. As a manager you can go and enter time on their behalf by changing the user in the toolbar and reporting as them.  To see how much time they have entered individually, you can either run a time tracking report or set the task reporting policy to individual.

Josh,

How % complete for a task is calculated where 2 resources are assigned to a task and the 9.18 setting is Individual. How's the calculation work when the setting is Shared.

Shared will work as follows...

  • It does not matter which Resource reports time (Actual Effort) on the Task. The % Complete will depend on the total Actual Effort entered, no matter which resource adds the time or how much of it.

 

Individual will work as follows...

  • Depends on how many resources and their %unit (allocation amount to task). As an example (easy one), lets say you assign 2 Resources to a task. If you are specified as Individual reporting policy then you will have the following...

Resource1 - Responsible for 50% of Work

Resource2 - Responsible for 50% of work

If resource1 enters time equivalent to 50% of their work and Resource2 enters time equivalent to 25% of their work, then %Completed will be 75%. So the big difference here is that even if Resource1 completes their work (100%), the % Completed will only be 50% because Resource2 Work is required as well.

Boris,

We report % complete, so I assume that in the Share option what ever the % complete reported this value be shown. In your individual example should'd it be 37.5%.

My apologies, I did the math wrong on the Individual. You are correct. Actually it will be rounded up and shown as 38% in the work plan but you are correct.
