License Management

We set up our clients as Email only users in Clarizen so they can view the project plan and update their own tasks. We're having great difficulty with having the user type stay fixed - I've noticed that users I set as email only will somehow change to Full users despite the fact they don't have a license assigned to them. They then get bombarded with emails and become quickly irritated. Is there a way I can prevent these users from switching to a Full user status? 

 

A related question: We need the project managers (who have Super User status) to be able to add new users and manage their licenses. I've enabled them to add new users but they still can't change a user's user type. Is there a way to enable this for super users? Thank you.

Are you setting them as email-only from the start?  When inviting new users, I would make sure that you go to advanced settings and set them as email-only.  Otherwise, there is a 14day free trial where they have the ability to log into the system and get defaulted to full users. Sidenote: we have a new license type for clients coming out soon that will be free and provide much more functionality than email only users (ability to login, submit and view cases, easily collaborate on documents, etc.).

As for Super Users and licenses, I don't think we could do this even with a customization. They would have to be Admins unfortunately, which I would dole out very carefully.

I do have the default new user type set to 'Email' but we are still experiencing this problem. Do you know when this client license type will be available? I've turned off all email notifications in the system and am still hesitant to add clients.

Hmm, if default new user type is Email, then this could be a bug.  Can you submit a ticket (up at the top)?  As for the new license type, this is coming either at the end of Q2 or early Q3 I believe.

Hi Josh, I was just wondering when the new license type you described for customers above is coming out?...Maybe it already has and I am not aware.  From what you describe it sounds like it will be very useful.

Email Only User type is already available to you. Notes on this user...

  • Email Only users do NOT have access to log onto Clarizen

  • Email Only users can be resources just like any other user in the system. Any Progress reporting will need to be done using the Progress Update Reports which get sent to these users via Email and they can update their time, add notes and more using the provided Email Form without ever logging into Clarizen.

Boris, I am aware of the Email Only user type.  What Josh is describing above has more capabilities,His quote was:

"we have a new license type for clients coming out soon that will be free and provide much more functionality than email only users *(ability to login, submit and view cases, easily collaborate on documents, etc.)." *

This was the license type I was inquiring about.  I find that the email only user type is somewhat useful but what he is describing above would be even more useful for client engagement.

Unfortunately the new license is not available yet. This is something that is planned for 2015.
