I would like to get your guidance on the way we are accessing Clarizen.  Until recently we had 1 person acting as project co-ordinator (PC)  and that person was assigned as the project manager for projects created in Clarizen.  They would not necessarily have any tasks assigned to them but they will be responsible for monitoring the project.

Due to the increased workload we now have 2 PCs and they share the work.   On occasion we also have temporary staff step in to help as well.

The PCs monitor several shared Outlook mailboxes which are used for our projects.  e.g OpenHosting, Training, OpenDocs.  Because we have a number of people monitoring the mailboxes we do not send emails from specific individuals, they are sent from the names mailbox eg. OpenHosting.

The challenge I have is using Clarizen where there are multiple PCs who will be reviewing project work.  Clarizen will not allow more than one project manager per project.  I need the PCs to receive the daily notifications from Clarizen but as these go to the named resource / manager I can't do this as we have to setup each project with just 1 named manager when in reality for use we have 2 or more.

What recommendations do you have on the best way we should address this problem?

Julie, 

There are a few things you can do. First, I suggest specifying more users within Clarizen and providing licenses depending on need. If they are for email only, then you can create them as Email Only users so that they can update their progress through email Progress templates that automatically update Tasks without logging in.

 

As for the PC issue, You can technically have a Project Manager AND a Manager on a Project if that helps and then you can email the daily notification from Clarizen accordingly. You can also create a Custom workflow rule or custom action that sends a email or report to your PC (project Manager), Manager, Resources or any other User in the system you choose, as well as external emails as well.

Hi Boris,

We are having an issue which touches slightly on what Julie has raised, hopefully you can shed a bit of light on this for us.

We are aware that we can assign a resource as a Manager on a task or Milestone, but is there a way that we can add TWO resources as the Manager on a given task or Milestone?

Any help you could provide would be greatly appreciated.

At this time, you can only have ONE Project Manager and ONE Work Item (Task) Manager. There is a Change Request to be able to have multiple but there is no ETA for this at this time.
