Expense Sheet Not Approved

How can I change "defer" to  "not approved" and have it kicked back to the resource?

Hi Stacy,

There are two scenarios when the Expense Sheet can be reopened:

1) The person who approved the Expense Sheet or the Expense Sheet Approver can "Reopen" approved expense sheets when changes are required.

2) The Owner of the Expense Sheet can 'Reopen' a submitted Expense Sheet, which pauses the approval process for an expense sheet that has not yet been approved by the Expense Approver or a direct manager.

The 'Reopen' command changes the state of the Expense Sheet back to draft.

Hi Stacy,

At the moment, you cannot reject an expense sheet, you can only defer. However, I have gone ahead and opened a feature request for the ability to reject an expense sheet. The ticket # is CR-219862.

What does defer do?  Does it let the resource know it has not been approved?  Can you change the word?

Hi Stacy,

Defer is basically saying that the expense sheet is postponed. It does not notify the resource that it defers but it will change the state of the expense sheet for the resources to see.

As Tom mentioned, this is not available out of the box, however, If you would like to trigger such notification to a resource, once the state of expense sheet is changed to Deferred, this automaton can be achieved with our customization engine (workflow rule).
