Effort vs. Duration

Great question! Effort (also referred to as Work) is the actual time required to complete the task. Duration is the total amount of time in which the user has to complete the task. For example, you might have a task that only takes 2 hours to physically complete, but that task can be completed anytime over the next week. So in this case the duration would be 1 week, but the work would be 2 hours. When users are reporting completion, the actual effort will be compared to the work to see if that amount of work required to complete the task was above/below expectations.

What affects the % completion is not duration, but actual effort. Duration should have no impact at all on % completion. If you have a task with let's say 10h of work (estimated work), and you report 1h of actual effort, the % completion will automatically calculated to be 10%. If you put 0 in remaining effort, it will automatically mark the task as complete and set the % completion to 100%. So either you report progress via % or effort. Hope this helps!

I entered the 4 hours into the actual effort column.

Ah, yes actual effort will always update % completion, that is what is supposed to happen. If you did not enter in any estimated effort, then the system will assume that estimated effort (work) = duration.

OK, that makes sense and matches what I am seeing. I think this is my last question here: Where do I enter Estimated Effort? I do not see a field like that. All I see that is similar is Budgeted Work.

But what if the remaining effort is greater than than the amount of work?

Does work get updated automatically, or are you supposed to update work yourself?

The same issue arises when you actual effort and remaining effort together are bigger than work (estimated effort)

It appears to me that Clarizen plans resources based on work, and not on remaining effort. Am I correct?

Hi Gijs,

That is correct, Clarizen does plan resources based on work. Also work does not have to equal actual effort + remaining effort. Work is really a plan and the actual and remaining effort are meant to be actuals.

What are the indicators that measure Actual Regular Effort? For example:

Task A:

Duration = 5.56 days

Work = 21 h

Actual Regular Effort = 61.44 h

The fact that Actual Effort is higher than Work indicates you went over 'budget', i.e. the actual Work took longer than what was planned. As for how this is calculated, this depends on your Settings. If you have 'Actual Effort updated from time sheet' enabled for this task, then resources on this task have reported already 61.44 hours. If this setting is not enabled then the my guess is that someone manually set these hours in that respective field.

Can you hop on a Q&A session to review this over a shared screen?

Thank you gil. Just like you said, the problem was that time sheet wasn't updated.
