Sending Scheduled Reports Only if Items are in the report

I have a scheduled report of filtered projects that should only be sent if there are projects that meet the criteria.

In other words, if there are no projects - then don't send the report.

It's confusing to people to get a daily report with a blank Excel, however I want them to leap into action if there is one (and I don't want to train them to ignore the report).

Sounds like this would need to be a custom action or workflow rule (workflow rule, I think, off the top of my head) to include the 'actionable data' criteria in whether to execute.

The reporting scheduled send functionality is purely schedule-based

Agree with Richard, a scheduled workflow rule that sends out a report only if certain criteria are met would be a better way to go than a standard scheduled report.

Hi all,

Thanks for the thoughts, but you've gotten to the root of my questions.

How do I count the "actionable items". It's easy after the report is generated - says it right at the top - "0 Number of Projects". Of course, that's human readable in the Excel.

But I can't figure out how to set that as criteria.

Do I have to set up a crazy filtered field that counts the projects?

You can create a rollup summary field that will count based on certain criteria, such as tasks that are Executable (Active and have not predecessors that need to be completed first). You would only send the report if this field at the project level is greater than 0.
